UCPath is the University of California’s priority program to implement a comprehensive payroll, benefits, human resources and academic personnel solution for all UC employees.
The reporting team finished phase 1 of Reporting Workgroup meetings. They met weekly from August 2017 to June 2018 to design, develop, and review 42 reports. The workgroup will resume meetings in September.
Reports were originally classified into 2 categories for the pilot locations, day 1 and day 2. Day 1 reports are considered critical for go-live and then everything else was considered day 2. Now that the pilots are live, they are working on the remaining reports (day 2). The reporting team, Amy Ruth and Matt Levin, is working with the Central team and collaborating with other campuses on Day 2 reports. The next step is to work on TAM/e-Performance reports for the D1 locations.
Matt and Amy are continually working with the system-wide BICG (Business Intelligence Collaboration Group) to modify/maintain the Common Data Mart (CDM), which is the database used for our local reporting. Our reporting efforts have generated a lot of interest in what we have developed and they have provided report demos to UCD, UCSD, UCOP, UCSF, UCB, UCR, ANR, and the UCPath Center
The reports will go through significant testing during the coming test cycles (see the article below on Testing updates).
New Anteater on the Team
Grant Speckert is the administrative coordinator for testing and training on the UCI UCPath project team. His role is to organize and streamline processes and provide administrative and data support. As testing and training get underway, you’ll find Grant greeting and registering attendees at the new testing and training facility at ICF 315 on campus.
His previous experience includes working in a similar capacity at the University of Southern California for the last three years. At USC, he provided administrative support for both the School of Social Work and the Marshall School of Business while at the same time coordinating with the Facilities and IT Department to resolve issues and help students.
Grant is an Anteater from the Class of 2014 with a degree in Political Science with minors in History and International Studies. Originally, he entered UC Irvine as undecided/undeclared but soon discovered his passion for both history and international affairs.
He was born and raised in the Sacramento area but moved to southern California to attend UC Irvine in 2009 and has lived here ever since. Outside of work, Grant enjoys watching movies, spending time with friends, and reading. He also enjoys trying out new restaurants and new types of food.
System Testing was intended to confirm that the functional design was met for the Talent Acquisition Management (TAM) and ePerformance applications, as well as new customizations and change requests. UCI campus and Medical Center testers completed the System Test phase on August 17. During System Test 2, TAM and ePerformance applications were demonstrated to the UCPath Training Workgroup and other stakeholders. The next step will be to test these applications in the Integration Test phase. Key upcoming testing activities will include:
- Integration Testing (IT) – September - December
- Payroll Parallel Testing (PPT) – September - November
- Operational User Testing (OUT) – January - February
Who will participate in testing? Early testing will include trainers, the UCPath project team, and possibly a few Subject Matter Experts (SME), as required. We will invite additional people (1-2 from each division not already represented) to participate in testing in November and December to pilot the Operational User Testing phase that begins in January.
Scope for Integration Testing includes the following:
- End-to-end Testing for defects in new deliverables (TAM and ePerformance applications, new functionality and change requests)
- Staging data and transactional scenarios for UCI Tier-n & Tier-1 users to test (including reporting)
- Confirming our understanding of UCPath functionality
- Creating entries in testing to capture scenarios for training material
- Confirm configuration setup
- Additional opportunities for Training Team to become more familiar with using the system and to enable additional users to participate in the testing prior to Operational User Testing
Scope for Payroll Parallel Testing includes the following:
- Compare PPS May payrolls to UCPath payroll
- Ensure Net Pay is accurate & explain differences
- Gross Pay
- Confirm conversion of data impacting pay is correct
Scope for Operational User Testing (formerly User Acceptance Testing) includes the following:
- Our local processes are in alignment with UCPath
- Test both easy and complex transactions including business processes
- Security roles are set properly and are understood including Initiators and Approvers
- Ability for some users to gain familiarity prior to full training and go-live

Major KFS Update in Support of UCPath
UCI is hard at work getting ready for our technical integration with UCPath. On Monday, Sept. 24, the campus will implement a new Unified Organizational Hierarchy for its accounting that will align better with UCPath once that goes live (currently targeted for March cutover). This major update to our organizational structure is necessary to prepare the Kuali Financial System (KFS) for integration with UCPath, but the new organizational hierarchy will have other benefits as well. It will create standardized financial reporting and roll-ups across campus that will eliminate the need for crosswalks between systems and generally make campus financial data easier to analyze.
Financial managers should be aware that requests for edits to the campus org structure cannot be processed until after the project is completed.
