Training Courses: Starting New Employee Training & Finishing In-Progress Courses

Sign up for a new set of the UCPath courses for new employees or those who didn’t previously complete all their courses. This set of courses will be conducted via Zoom with some additional exercises. Sign up online at the UCLC.

There is only one offering currently for these courses, which began April 13 with UCPath Inquiry & Navigation.  The class size is limited to 20 participants.  View the schedule at ucpath.uci.edu on the Transactional User page.

New Training Courses for Those Who Have Completed Required Training

Three new courses are being offered via Zoom based on requests for additional training. These courses are for those who have already completed their required training. Please register online at the UCLC.

  • Budget Distribution: 4/27, 4/30, 5/5
  • NSTP & Summer Salary: 4/27, 4/30, 5/5

Call-In Center Hours: April and May

Due to continued social distancing and remote work, the virtual drop-in center is now available five days a week, from 8:30 a.m. – 5:00 p.m. Monday – Friday.  A support team member will answer your call, ask what type of question you have, and help you immediately or set an appointment for a zoom session later that day. Also continue to open cases with the EEC at 949-824-0500 or eec.ur.uci.edu.

Additional Support Resources – Call-In Zoom Sessions

9:00 a.m. Daily –  A 30-minute session with AP and UCPath support team for academic questions
1:00 p.m. Tuesdays  – A one-hour session on a specific subject to provide new information, answers to frequently asked questions, and lessons learned. Topics are published the day before the meeting at ucpath.uci.edu on the transactor page. Notes from each meeting are available there.

UCPath Functionality Updates

  • When processing a Direct Retro (Salary Cost Transfer) transaction, be sure to only select one paycheck at a time for each transaction. Also note that if costs are transferred to a fund with a Salary Cap, you will receive a warning message. Click OK to the message to proceed. The Approver will also receive the warning message when they approve the transaction. Additionally, please allow 30 days for final salary cost transfers to process ahead of fund closures. 
  • Whenever the relationship between a position and the department is broken, the funding for that position will be erased and new funding entry will need to be created. If funding is not updated , charges will go to department default account. 
  • Do not Use KFS Sub Account on Work Study Position Funding
  • When providing an employee additional pay, please be sure to select the correct reason code. For new, current, or future dated additional pay – please use the reason: New Additional Pay
  • All RETRO Dated additional payments, please use the reason code: Retroactive Change
  • NOTE: A special form is required by UCPC to make adjustments to existing additional pay. Please open a case with UCPC and request the Additional pay update form.

UCPath Down Times / UCSD and UCSF Cutover

The UCPath system (including UCPath Online) will be unavailable to all UC employees two times during the month of April and May, 2020 due to the UCSD, UCSD Medical and UCSF transition to UCPath.

Tax Information - Out of State and Non-Residents Working Remotely

As a result of the COVID-19 pandemic, some UCI employees who normally work in California may now be working outside of the state. Employees who fall into this category may qualify for state taxes in the state they reside while telecommuting. Please seek advice from your tax advisor if you have questions or concerns about changing your tax filing status.

If this work situation applies to you and you would like to change your state residency for tax purposes, follow the steps below.

  1. Log in to UCPath Online
  2. Click on Forms Library > Access Forms > Payroll > Out of State Income Tax Withholding
  3. Review the information, complete the form and submit

For Non-Resident Employees (residing outside the U.S.), please review the following:

  1. Log in to UCPath Online
  2. Complete the Foreign Source Income Statement (if applicable). Click on Forms Library > Access Forms > Payroll > Foreign Source Income Statement
  3. Submit an Out of State Income Tax Withholding Form (and attach the Foreign Source Income Statement if applicable). Click on Forms Library > Access Forms > Payroll > Out of State Income Tax Withholding
  4. Submit updates to your GLACIER account if temporarily working out of the country

Employees with questions regarding should submit an inquiry on UCPath online at “Ask UCPath Center.”

Support Survey Results

The UCI UCPath project team recently sent out an email to initiators and approvers expressing gratitude for a job well done every day so that UCI employees get paid. A survey was included to determine how we can expand our support efforts. We will use the feedback to plan future efforts. Results include:

We meet weekly with the UCPC to review concerns and seek ways to resolve ongoing issues. Please continue to provide feedback on questions that you have and areas that we can improve upon.
